Empowering our Customers to focus exclusively on exceptional care
This release focuses on resolving specific issues that could interrupt scheduling, authorization management, and day‑to‑day workflows. The changes below address and improve behavior across multiple functions.
Authorization-Driven Scheduling
Authorizations are now the governing source of truth when scheduling appointments. The system will actively validate authorization rules in real time as appointments are created or edited, preventing scheduling errors before they occur and ensuring every appointment stays within its authorized boundaries.
- Authorizations are now enforced as the primary constraint when scheduling or editing any appointment or recurring series, ensuring all scheduling activity stays within authorized boundaries.
- Recurring series end dates are now restricted so they cannot extend beyond the selected authorization's end date, keeping series automatically aligned with authorization validity.
- Authorization cards are now grouped by authorization number, date range, and status, so each authorization appears as a single, clean card rather than multiple separate entries.
- Selecting a service code within an authorization card now expands the card to show that code's total authorized quantity, completed quantity, scheduled quantity, and remaining quantity.
- Remaining quantity is now calculated as total authorized minus completed and scheduled appointments, giving an accurate real-time picture of what is left to schedule.
- The scheduling system now validates all authorization constraints in real time when creating or editing appointments, including authorization date range, total authorized quantity, and daily, weekly, and monthly limits.
- If any authorization constraint is violated, scheduling is fully blocked — the system will not partially save appointments, silently shorten a series, or allow scheduling to proceed in an invalid state.
- The scheduling panel now shows clear, specific error messages for each type of authorization violation, including date range violations, total quantity exceeded, and daily, weekly, or monthly limit violations.
- Authorization violation errors are now displayed inline within the scheduling panel, clearly identifying the affected authorization and service code with plain-language guidance on how to resolve the issue.
- The Auth Tab and Session Review workflows now support Categorized Authorization service code selection, bringing authorization-aware service code selection into session review flows.

Group Appointments
Group appointments now follow the same strict authorization rules as individual appointments, with per-child validation and clear, organized error displays that make it easy to identify and resolve issues before saving.
- When only one relevant authorization exists for a child, it is automatically selected and validated, reducing manual steps for the scheduler.
- Authorization validation now runs in real time as each child's authorization is selected or auto-selected, giving immediate per-child feedback rather than a wall of errors at save time.
- If one or more children have authorization issues, a summary banner clearly states how many patients have issues (e.g., "3 of 8 patients have authorization issues that must be resolved before this group can be scheduled").
- Authorization errors in group appointments are organized under each patient's name, making it easy to work through issues one child at a time.
- Every child in a group appointment must have an authorization selected before the group can be saved — no exceptions based on funding source or payer type.
- Each child in a group appointment is validated independently against their own authorization, but the group saves as a single unit — if any child has a violation, the entire group is held until all issues are resolved.
- The system will never silently remove a child from a group appointment — all resolutions must be made explicitly by the scheduler.
- Recurring group series are strictly blocked if any child would violate any authorization constraint on any occurrence; the series end date cannot extend beyond the earliest authorization end date among all children in the group.
If the series end date conflicts with one or more children's authorization end dates, the error clearly identifies each affected child and their authorization end date.
Drag & Drop Appointments
Schedulers can now drag and drop appointments directly on the calendar to quickly reschedule without opening edit forms, saving time and streamlining day-to-day scheduling workflows.
- All single occurrences, whether it stands alone, is in a group, or within a recurring series, can now be dragged to a new time slot without affecting the rest of the calendar or series it is in.
- An entire recurring appointment series can now be dragged to a new time, in either the past or future, and it will shift all occurrences together.
- Appointments can now be resized directly on the calendar by dragging the bottom edge, making it easy to adjust appointment duration on the fly.
Calendar Performance & Reliability
Significant improvements have been made to how appointment data is loaded and updated on the calendar, resulting in faster load times, fewer redundant requests, and a more reliable scheduling experience overall.
- The calendar now retrieves appointment data through a single optimized endpoint, reducing load times and improving overall calendar performance.
Authorization Burndown & Visibility
The authorization usage card has been updated with clearer labels, smarter calculations, and new frequency-aware display logic, giving care teams a more accurate and meaningful view of how authorizations are being utilized over time.
- Terminology on the authorization usage card has been updated for clarity — "Recommended" has been renamed to Remaining Spread, reflecting what the value actually represents.
- The Target line now displays the authorized rate per period alongside the total authorized amount and total number of periods, with examples such as "0.24 hours/day (10 total hours over 42 weekdays)."
- The Remaining Spread line now displays the rate per period alongside remaining authorized amounts and remaining periods, with examples such as "1.50 hours/day (15 remaining hours over 10 remaining weekdays)."
- Both Target and Remaining Spread now adapt their display based on the authorization's frequency — supporting Daily, Weekly, Bi-Weekly, Quarterly, Semi-Annual, and Annual frequencies with the correct period labels and calculations.
- For Daily frequency, period calculations count Monday through Friday only, excluding weekends, to reflect true scheduling availability.
- For Weekly and above frequencies, period counting is anchored to the authorization's start date, with partial periods at the start or end of the authorization range counted as one full period.
- Remaining Spread is automatically hidden when the authorization's unit of measure is Visits or when the frequency is set to Once (typically used for one-time assessments), keeping the display clean and relevant.
- Hover tooltips have been added to the Target and Remaining Spread labels to explain how each value is calculated, tailored to the authorization's frequency.
- A tooltip on the utilization count (e.g., "9 of 42 weekdays with utilization") clarifies which days or periods are included in the count.
- The Burndown Card now includes Authorization Frequency Adherence indicators, showing whether scheduling is on pace with the authorized frequency (e.g., 3 times per week).
- Remaining units, visits, and hours are now displayed on the Burndown Tab, giving staff a complete picture of authorization utilization at a glance.
Bug Fixes & Stability
- Fixed a confusing message that appeared when attempting to add a recurring appointment in the past, with the message now clearly communicating why the action cannot be completed.
- Fixed an issue where valid authorizations were not appearing in scheduling dropdown menus, preventing staff from scheduling against active authorizations.
- Resolved a display issue where incorrect or overlapping appointments were rendering on the calendar, causing confusion about a client's actual schedule.
- Fixed an issue where recurring appointments were displaying on incorrect dates when day boundaries overlapped across weeks within a series.
- Resolved an issue where creating a new appointment would result in duplicate appointment records being generated.
- Fixed an issue where client records were displaying duplicated service codes, causing confusion in authorization and billing workflows.
- Corrected the default calendar view so that it now opens at 8:00 AM instead of 6:00 AM, aligning with standard business hours.
- Resolved a timezone issue affecting Arizona users where time adjustments were incorrectly shifting appointment times on the calendar.
- Fixed an issue where editing a single instance of a group appointment series was inadvertently duplicating that instance and other appointments within the same series.
