Authorization cards within the appointment window have been updated! With clearer labels, smarter calculations, and new frequency-aware display logic, your team will have the most accurate and meaningful view of how authorizations are being utilized over time.

Authorization Cards - Display
- After you begin scheduling an appointment by entering the Client's name, the authorizations that are available to them will display in cards.
- ✨TIP: If a client has more than one service, there will be tabs above the authorization cards related to those services (ABA, OT, ST) and the corresponding authorization(s) will be listed under those tabs.
- Clicking on the authorization card you are using for the client, you will see the service codes that correspond with that authorization.
- Click the correct service code.
- An expanded view of the authorization card will now be displayed.
This expanded view shows you the code's total authorized quantity, completed quantity, scheduled quantity, and remaining quantity. All configured limits - daily, weekly, and monthly - are also displayed in the expanded card.

Authorization Burndown & Visibility
Let's take a closer look at the terminology for the authorization cards.

Total authorized: The total hours for the FULL authorization time period.

Frequency: This is set when the authorization is created. You may see one of the following authorizations.
- Once – the authorized hours will be used only one time during the auth period
- Daily – I want to spread the authorization across weekdays (e.g., 5 hours per day)
- Weekly – I want to spread the authorization across weeks (e.g., 20 hours per week)
- Bi-weekly – I want to spread the authorization across 2 week periods (e.g., 40 hours every 2 weeks)
- Monthly – I want to spread the authorization across months (e.g., 10 hours per month)
- Quarterly – I want to spread the authorization across quarters (e.g., 10 hours per 3 month period)
- Semi-annually – I want to spread the authorization across a six-month period (e.g., 100 hours per 6 months) – NOT RECOMMENDED as the calculation likely wouldn’t be helpful

Annually – I don’t care how the auth is used

Target: The amount of authorization units/hours/visits you should use per frequency period. (e.g., 27.78 units/month over 18 months)
- Remaining Spread: The amount of authorization unit/hours/visits remaining per frequency period. (e.g., 17.08 units/month over 13 months remaining on the authorization)

Risks & Warnings

Risks - Risks are in yellow boxes. This is the system telling you that you are at risk of potentially over-utilizing an authorization. You can still save the appointment.
- Warnings - Warnings are in red boxes. This is the system telling you that you need to fix an issue BEFORE you can save the appointment.
