We are releasing new Appointment Architecture for the Scheduling module in a phased approach (your implementation manager will reach out to you when your organization migrates to this new architecture). While most of the changes are behind the scenes, this update introduces two important improvements that impact how appointments and sessions behave across Boost and Hi Rasmus.
These updates are designed to reduce friction, support real-time changes, and give you more flexibility when managing sessions and appointments.

What’s New
1. Edit Boost Appointments While a Hi Rasmus Session Is in Progress
You can now update appointment times even while a session is actively running. How the system responds depends on whether the appointment is a single appointment or part of a recurring series.
Single Appointments

If a single appointment time is changed while the session is in progress
No re-linking is required.
The session remains linked to the updated appointment.
The session can be sent to Boost as usual.

If a single appointment time is changed after the session ends but before it is sent to Boost
No re-linking is required.
The session remains linked to the updated appointment.
The session can be sent normally.
Recurring Appointments

If an appointment in a recurring series is updated while the session is in progress
The session must be re-linked before it can be sent to Boost.
Only one linking option will be available.
Once linked, the session can be sent as usual.

If an appointment in a recurring series is updated after the session ends but before it is sent to Boost
The session must be re-linked before it can be sent to Boost
Only one linking option will be available.
Once linked, the session can be sent as usual.
These changes make it possible to adjust session times in real time without disrupting active sessions.

2. Create Staff-Only Appointments
You can now create staff-only appointments that:
Are sent to Hi Rasmus
Render as sessions
Can be sent back to Boost
📌 Important note:
At this time, the session note associated with a staff-only appointment is not yet visible in Boost. This limitation will be addressed in a future update.

Recommended Workflow for Managing Unlinked Sessions
Some organizations may choose to train BTs on how to link sessions themselves. If you prefer not to allow that, we recommend adding a simple daily admin task to ensure that all sessions get linked at the end of the day:
Go to Reporting > Activities
Apply the filter: Linked to Appointment → Not linked to appointment
Link any unlinked sessions.
Bulk send the sessions to Boost.
This ensures all sessions are properly linked before sending, billing, or reporting.
